On March 18, the AmCham HR Committee met to explore the evolving role of digital employee documentation as a cornerstone of the modern workplace.

What used to be just HR records is now becoming a key part of an organization’s information infrastructure—supporting efficiency, better data access, and automation across processes.

As highlighted by Marcin Sanetra, Partner, PCS, the 2026 legal landscape is making paper-based systems increasingly costly and impractical - “being digital” is no longer optional, but the standard for efficiency, compliance, and security. Tomasz Morawski, Senior Business Development Manager of Iron Mountain, added that in hybrid work environments, fast and seamless access to information is critical, exposing the limitations of traditional, fragmented documentation.

We also discussed digital workflows, e-signatures (including the option of five free qualified signatures per month in the mObywatel app for private documents), and fully remote hiring processes.
Importantly, digitalization of employment agreements is rapidly evolving from simple storage to end-to-end automation powered by AI, eliminating repetitive tasks like drafting, sending, and filing.
Of course, questions around time and cost came up. While implementation requires investment, the benefits like speed, transparency (who accessed what and when), fewer errors, and eliminating “forgotten tasks”, quickly outweigh the costs.

Bottom line? Digital employee documentation is not just an IT project. It’s an organizational change—and to deliver value, it must be fully embraced and actively used.
